Fall Fest Set-Up • Decorating • Breakdown Team
Thank you for volunteering to help prepare our Fall Fest! These teams work largely behind the scenes, but you truly set the stage for the entire day. From the first table and canopy that goes up to the final chair that gets put away, we could not do Fall Fest without you.
Please wear your Dream Team T-shirt and arrive 10 minutes before your scheduled time. Before or after your shift, be sure to stop by the Family Room and enjoy a complimentary lunch!
🔨 Set-Up Team
Thank you to our early birds! Set-Up must begin no later than 8:00 AM and be completed by 9:00 AM so that ministry leaders and volunteers have enough time to prepare their individual areas before Fall Fest begins.
Please follow the Fall Fest Set-Up Map you were provided.
Responsibilities include:
► Set up tables and chairs in their designated locations.
► Set up pop-up canopies only.
► Place garbage pails throughout the grounds.
► Bring out hay bales and photo-booth cutouts from the attic.
► Set up barriers from TOB, construction cones, and No Parking signs.
► Make sure walkways, entrances, and activity areas remain clear and safe.
► Help ministry leaders with any final set-up needs once the main grounds are completed.
Please do not improvise locations without checking with the Set-Up leader. The map is designed to keep activities, traffic, and pedestrian areas organized and safe.
Our goal: everything ready by 9:00 AM!
🎈 Decorating Team
Thank you for helping transform our grounds into a fun, colorful, and welcoming Fall Fest!
Before Fall Fest: Meet as directed to help prepare or purchase decorations.
The night before: Help prepare the balloon arch and any decorations that can be completed ahead of time.
Fall Fest morning: Please arrive at 8:00 AM. Valerie will provide instructions and help coordinate decorating throughout the grounds.
Responsibilities may include:
► Hang garland on the tents.
► Install balloon decorations.
► Cover tables and add centerpieces.
► Place corn stalks at the Welcome Center and Pumpkin Patch.
► Put up signs and banners.
► Add finishing touches to the different Fall Fest stations.
Please make sure decorations are securely attached and do not create tripping hazards or block walkways, signs, entrances, or activity areas.
Your creativity helps make the entire property feel festive and inviting!
🧹 Breakdown Team
Breakdown begins at 4:00 PM and continues until everything is finished.
Thank you for helping us leave the church and grounds clean, organized, and ready for Sunday!
Please:
► Throw away the disposable orange tablecloths, but SAVE THE TABLECLOTH CLIPS and place them on Kim's desk.
► Remove all remaining signs and reusable decorations and place them in the Admin Office.
► Put foldable tables in the first Family Room closet next to the refrigerators.
► Return picnic tables to the back patio.
► Put away all chairs. Chairs should be hung on the chair rack in the Family Room.
► Pick up all garbage from the grounds.
► Empty garbage into black bags and place them in the dumpster.
► Use a blower to clean the grounds when needed.
► Place any remaining unsold hay bales along the path through the woods toward Murphy Jr. High School.
► Take down all canopies carefully.
⛺ Important Canopy Instructions
Please do not force a canopy closed. Forcing the frame can bend or damage it.
Follow the canopy take-down instructions provided by the team, place each canopy back into its proper case, and return the canopies to the shed behind the church closest to the patio.
If a canopy will not close properly, stop and ask for assistance rather than forcing it.
Remember
